ADVERTISING AND LOGOs

Get your message across both during and after the event by advertising in the Event Guide, an indispensable guide to the conference and exhibition, and one of the most focused advertising opportunities in the sector. A copy of this publication will be given to each delegate when they register at the Conference. Additionally the Guide will be given to speakers and exhibitors as well as to those from the housing sector who request a copy after the event. The print run will be 300 copies.

ATTENDEE LIST

A complimentary data-protected copy of the Attendee List will be available on request three weeks prior to the event on receipt of a signed copy of the terms and conditions of use. The list is not available after the event.

A printed copy of the Attendee List will be included in your Exhibitor Welcome Pack, which you will receive on arrival at the exhibition.

CATERING

Complimentary refreshments throughout the day and lunch for exhibitors will be provided from a designated catering point in the exhibition. Exhibitors will be served lunch 10–15 minutes before delegates are served.

DELEGATE PLACES

Each stand holding organisation is entitled to one complimentary non-residential delegate place. To register for your place or to book additional places please complete the relevant section of 5: Complimentary Delegate Place by 21 September for any questions please contact: events@housing.org.uk

All delegate places must be booked in advance as the National Housing Federation is unable to accept bookings for delegate places on the day of the event.

DELIVERY/COLLECTION

All deliveries and collections must be carried out at the Goods In loading bay located on Cowper Street EC2A 4AP.

Opening hours are 08:00–17:30, Monday to Friday. Please ensure to quote this street and postcode to your courier company.

Delivery and labelling of goods

Goods can be delivered up to a week before the event. All items must be correctly labelled and delivered within the Goods In opening times. Please ensure that all delivery items are clearly labelled with the Delivery Label available (failure to label your goods, as below, could result in loss of items):

Courier collection

Please ensure all items are clearly labelled with the Collection Label available, please include delivery address and a contact name and number. All items need to be collected on the day following the exhibition. A collection form will need to be completed and left with your goods. Collection forms will be distributed to all exhibitors and they are also available from the Exhibition Organiser’s Office.

Please note that 99 City Road Conference Centre will not be held liable for any items that are delivered and/or collected.

DILAPIDATIONS

Exhibitors are responsible for any damage caused to the fabric of the exhibition venue, whether caused by the exhibitor, agents or contractors. No items, adhesives or materials of any kind may be fixed to the fabric of the building. In your own interest, you should satisfy yourself as to the condition of your stand site before the construction of your stand and after its removal. Any charges incurred by the organisers for damage to the venue will be passed on to the exhibitor concerned.

DISTRIBUTION of PROMOTIONAL MATERIAL

Exhibitors are reminded that business may only be conducted from their stand. The distribution of leaflets or any other promotional material will not be permitted in any other part of the venue. The organisers reserve the right to prohibit the display or distribution of promotional literature that could give rise to offence and to confiscate the supplies of such material for the duration of the event.

EXHIBITOR BADGES (ADDITIONAL EXHIBITOR PLACES)

Exhibitors should complete 3: Exhibitor Badges and return it by 21 September. Badges and lanyards will be given to you from the venue reception desk on arrival. For security reasons all exhibitors must wear the identity badges provided at all times during build-up, break down and the exhibition open period.

You are entitled to received two exhibitor badges with your stand booking; any additional badged needs to be purchased.

EXHIBITOR PROFILE

Each exhibitor is entitled to a complimentary 50 words profile in the Event Guide and event app. We are unable to accept entries after the deadline and reserve the right to edit entries in excess of 50 words without issuing a proof.

FURNITURE

You will be supplied with a covered trestle table and two chairs but you may bring your own furniture if required,
providing it will fit in the space allocated (approximately 6m2).

INSURANCE

In accordance with the Rules and Regulations of the Organiser, Foremarke Exhibitions Ltd and the Terms and Conditions of your stand booking, exhibitors are responsible for ensuring that they have adequate insurance cover for stand fittings, exhibits, third party injury, damage and abandonment.

i) Third Party - the Exhibitor is responsible for and will indemnify the Organisers against all personal injury, or damage or loss to property arising in connection with the erection, use and dismantling of the Exhibitor’s stand and anything permitted, omitted or done thereof or therefrom caused directly or indirectly by the Exhibitor or any contractor, sub-contractor, servant, agent or invitee of the Exhibitor or visitor to the stand or the act, omission or neglect of any such person or by any exhibit or machinery or other article or item or the Exhibitor or any servant or agent of the Exhibitor.

ii) Exhibitor’s staff and exhibits - the Organisers shall not be responsible otherwise than through negligence howsoever caused in any way for:

a) Personal injury to the Exhibitor or servants, agents, invitees or licensees of the Exhibitor.

b) Loss or damage caused to the Exhibits or to other property of the Exhibitor, his servants, agent, invitees or licensees.

iii) Exhibitor’s Insurance Cover - the Exhibitor shall take out adequate insurance in respect of the foregoing risks. The Exhibitor is further advised to insure against costs and losses which the Exhibitor may incur in the event of the Exhibition being delayed, prevented, postponed or abandoned through force majeure or from causes not within the Organiser’s control, since all liability on the part of the Organisers for such costs and losses is expressly.

iv) Excluded in such an eventuality. Furthermore, in such an eventuality the Organisers may at their entire discretion without obligation to do so repay all or part of the Contract Price already paid by the Exhibitor:

a) The Exhibitor is further advised to take out insurance to cover their liability for any claims made against them for their ‘failure to vacate’ the venue at the expiry of their licence period stated in the Contract to Exhibit.

b) While we take every precaution to protect your property during the event, we are not responsible for any loss or damage.

As a benefit to you we have included a standard insurance package service on a non-advised basis, which enables you to comply with your contract condition in this regard. The cover commences as soon as your participation fee is paid and provides protection in respect of your expenses, property and legal liabilities to third parties.
The cover is solely for the benefit of the entity named on the attached “Evidence of Insurance as an Exhibitor” document. Associations, and the like, who make “block” bookings on behalf of a number of other parties, must ensure that each individual party makes arrangements for insurance protection, as an Exhibitor, in their own right.

Once your payment has been received the “Evidence of Insurance as an Exhibitor” document comes into effect. All you need do is write your name and address on the document, along with the details of the Exhibition, and ensure that it is stored in a safe place, as it will be needed in the event of a claim.

If you have made, or intend to make, arrangements for alternative insurance cover you may opt out of this provision, provided that satisfactory evidence of alternative cover is sent direct to InEvexco Ltd at the address below. An Insurance Validation Certificate will be sent to you by them, on our behalf, and the Insurance Participation Fee will be refunded to you. When sending the evidence to InEvexco Ltd, please ensure that you include a return address.

Once we have received confirmation of that evidence from InEvexco Ltd, any Insurance Administration Fee that has been invoiced to you will be credited and, if already paid, refunded upon request. Alternatively, the funds involved can be set off against any other invoice, which may be outstanding.

We strongly recommend that you ensure that, in addition to complying with contract conditions, the sums insured, limits of indemnity and general scope of the standard Exhibitor insurance package adequately meet your specific needs. If you are not satisfied that this is the case, you are free to contact InEvexco Ltd for help and advice, or to complete the Additional Premium Calculation part of the “Evidence of Insurance as an Exhibitor” and send it to them with payment for your additional cover requirements. If you have any doubts about what your insurance needs are you should speak to either InEvexco Ltd or an independent insurance advisor.

If you require additional cover and are based outside the United Kingdom, you should send the form electronically to InEvexco Ltd, after calculating the amount payable. If payment is not being made in £ Sterling a surcharge of GBP 10.00 must be added to cover currency exchange/bank charges. Payment should be made to InEvexco Ltd using the following bank details. Please note that your insurance cover should be in place as soon as possible. Barclays Bank / Sort Code: 20 54 25 / Account No: 23813134.

This insurance is underwritten by certain Underwriters at Lloyd’s (W R Berkley Syndicate 1967). InEvexco Ltd is available to provide assistance and advice about any related matter and should be contacted in the first instance in the event of a claim.

INTERNET ACCESS

The venue offers a complimentary wireless internet connection for general email and browsing, the password for which will be included in your welcome pack on the day.

PATENTS and COPYRIGHTS

The Organisers reserve the right to exclude or reject from the exhibition any exhibitor who, in their opinion, is promoting, selling, marketing or exhibiting items or products that are in any way copies or reproductions of any other product or item already being produced or manufactured by any other exhibitor or manufacturer.
